Board Members

This is not an exhaustive list of responsibilities. It is intended to provide a general overview of the primary duties associated with each role.

President

  • Work with Board to choose programs

  • Oversee all Program Chairs

  • Keep the Board updated on progression of Programs and communicate any needs of the chairs

  • Communicate the time table of fundraisers and oversee school wide communication

  • Assist with Programs as time permits

Treasurer

  • Prepare the annual tax return with the CPA

  • Inform committees of budgeted funds

  • Pay bills and reimbursements as required

  • Oversee ongoing PTA finances

  • Ensure adherence to approved PTA budget

  • Prepare and present budget report for each PTA meeting

  • Prepare and present year-end audit

Secretary

  • Take minutes at PTA meetings, forward to the President for review, and submit minutes for inclusion on website

  • Email copy of minutes to Board members for approval by membership

  • Count a rising vote when requested by the presiding officer

  • Have on hand the following at each meeting: bylaws and standing rules, agenda and minutes, approved budget, calendar

Programs

  • Work with Board to choose programs

  • Oversee all Program Chairs

  • Keep the Board updated on progression of Programs and communicate any needs of the chairs

  • Communicate the time table of fundraisers and oversee school wide communication

  • Assist with Programs as time permits

Fundraising

  • Work with Board to choose fundraisers

  • Keep the Board updated on progression of fundraising events and communicate any needs of the chairs

  • Communicate the time table of fundraisers and oversee the school wide communication

  • Schedule monthly “Spirit Night” event (minimum 4 a year)

  • Count fundraiser money and work with Treasurer

  • Assist with fundraisers as schedule permits

PTA Volunteer Positions

This is not an exhaustive list of responsibilities. It is intended to provide a general overview of the primary duties associated with each role.

A chair person is responsible for leading a project from its inception to execution. This includes planning, execution and managing the people, resources and scope of the project. These can include programs, fundraisers and clubs. Each chair person will receive support from the appropriate Board Member.

​For one-time volunteer opportunities - these take place throughout the year and will only last for a short time. You would be under the direction of a chair person and will be assigned a specific job. We will send out sign ups as these events are approaching.

*These are volunteer opportunities made available by the PTA. In addition, Laurel Park Elementary School provides volunteer opportunities within the school such as copy crew, media center and classroom volunteers. 5th Grade Graduation

  • Coordinate a team of parents from each track to assist with planning the graduation

  • Prepare a slide show, prepare decorations, and organize a cake for the reception

  • Recruit 4th grade parents to serve the cake at the reception

Advocacy & BAC

  • Help advise the PTA of opportunities to take a stand to support children at LPES, in Wake County, and in North Carolina

  • Attend local District 9 quarterly meetings with our School Board Representative

  • Send communications materials to the PTA Communications Committee

  • This position works with the PTA President

Audit Committee

  • The audit committee will conduct a monthly review of this local PTA’s bank statements and supporting documents and shall sign an acknowledgment on the bank statements that the expenditures were consistent with the approved budget

Apex Leadership Fundraiser (Gen Fundraising)

  • Plan and execute fundraising initiatives for the Apex Leadership program

  • Coordinate volunteers and communicate with participants

  • Send communications materials to the PTA Communications Committee

  • This position will report to the Fundraising board member

Book Fair

  • Organize the Book Fair event held in the Media Center each year

  • Recruit and coordinate volunteers for set-up, tear down and other roles

  • Communicate and market the Book Fair

  • Work with the Media Specialist and the PTA Treasurer for daily deposits

  • Send communications materials to the PTA Communications Committee

  • This position will report to the Fundraising board member

Campus Beautification

  • Manage multiple projects throughout the school to keep LPES beautiful

  • Help recruit volunteers for individual projects

  • Organize smaller groups to work on projects throughout the year

  • Oversee projects and keep within the budget and timeline

  • Projects may include painting hallways, planting on school grounds, or adding to our playgrounds

  • This position works with the PTA President

Chess Club

  • Organize the Chess Club meetings

  • Help recruit participants

  • Recruit and Coordinate volunteers to run club meetings once a week

  • This position will report to the Programs board member

Communications Committee

  • Maintain website and social media accounts

  • Create and distribute the PTA newsletter, which will include (but not be limited to) PTA activities, fundraising results, upcoming events, volunteer opportunities, membership, etc.

  • Oversee the PTA Parent Ambassador Programs

  • Create and distribute flyers for student folders

Cultural Arts & Author Visits

  • Attend the yearly United Arts Council showcase to select programs for the year

  • Apply for the United Arts Council Grant

  • Work with staff to select performers and dates

  • Set-up Artist in Residence for 5th grade legacy project

  • Manage payment of artist through United Arts Council

  • Meet artist on day of the performance

  • Send communications materials to the PTA Communications Committee

Family Fun Night

  • Lead a team to organize and play the yearly Family Fun Night

  • Recruit and coordinate volunteers for the event

  • Send communications materials to the PTA Communications Committee

  • This position will report to the Fundraising board member

Family Movie Night

  • Help plan and coordinate event logistics, including organizing volunteers

  • Assist with setup and cleanup

  • Assist with promoting the event

Flyers

  • Design, print, and distribute flyers for school events and PTA activities

  • Coordinate timely delivery to students and parents

  • Ensure messaging aligns with PTA goals and branding

Garden Club

  • Organize and run monthly club meetings

  • Assist in recruiting participants and volunteers

  • Send communications materials to the PTA Communications Committee

  • This position will report to the Programs board member

GoPlaySave

  • Organize and deliver books and envelopes to students

  • Send communications materials to the PTA Communications Committee

  • Communicate with teachers, parents, and staff on the start of the program

  • Answer questions that may arise

  • Create a system to receive returned books and money

  • Be sure that books are delievered when ordered

  • Hand out awards to all participants

  • Work with the GoPlaySave company

  • This position will report to the Fundraiser board member

Kids Voting (Advocacy)

  • Work with the NC PTA - they will provide guidelines for you to follow

  • This position will report to the Programs board member

Membership

  • Plan and execute a Membership campaign

  • Create and maintain an updated Membership roster throughout the year and provide updates to the Secretary

  • Maintain the online membership page and online directory

Mileage Club

  • Organize club meeting dates and times

  • Recruit participants and volunteers

Movement Club

  • Organize activities that encourage physical movement for students

  • Recruit participants and volunteers

Nominating Committee

  • Identify and recruit candidates for PTA leadership roles

  • Communicate with candidates and the PTA board

Reflections

  • Communicate timelines and rules to participants

  • Assist students with questions and ensure all pieces are returned in compliance

  • Collect submissions and setting up a judging process

  • Organize a celebration for all artists who participate and pass our awards

  • Submit qualifying pieces to Wake County for judging

Robotics Club (First Lego League (FLL))

  • Recruit participants and volunteers

  • Support students during meetings and builds

  • Help set up and organize materials and equipment

School Supply Kits

  • Communicate and organize all order forms for School Supply Kit orders

Science & Engineering Fair

  • Organize and communicate dates and timelines to the Programs board member

  • Work closely with the LPES Staff to organize volunteers and judges

  • Purchase awards

  • Plan the details of the Science Fair Family Night

Snack Cart & Staff Appreciation

  • Help plan and organize appreciation events or gestures

  • Assist with assembling and distributing the snack cart

  • Recruit donations and collect snacks and supplies as needed

  • Support event setup, cleanup, and logistics

Social Media

  • Manage PTA social media accounts (Facebook, Instagram, etc.)

  • Create and share posts about events, fundraisers, and volunteer opportunities

  • Engage with the school community by responding to comments and messages

Spirit Rock

  • Manage the Spirit Rock program to celebrate students and staff

  • Promote participation and oversee communications

Spirit Night & Passive Fundraising

  • Share information on how to use the app to collect money for Box Tops (no longer physically collected)

  • Share information on how to sign up for passive fundraising through grocery stores, etc.

  • Coordinate with local businesses to schedule spirit nights

  • This position will report to the Fundraising board member

Spirit Wear

  • Responsible for all Spirit Wear sales at events and order form campaigns (twice a year)

  • Collect money and fulfill orders

  • Maintain a stock of Spirit Wear by ordering through the vendor

  • This position will report to the Fundraising board member

STEAM Night

  • Responsible for partnering with teachers and the community to organize the STEAM Night

  • Work with LPES Staff on timelines and communication plan

Teacher Appreciation

  • Help plan and organize daily appreciation events and treats

  • Assist with setup, cleanup, and decor for the week’s activities

  • Coordinate themed days, gifts, or meals

  • Communicate with room parents and volunteers

  • Celebrate teachers with creativity and gratitude

Trunk or Treat

  • Plan and organize the Trunk or Treat event

  • Work with teams of volunteers to set up vendors for games and activities

  • Oversee the purchase of prizes for games and contests

  • Work with teachers to organize pumpkin decorating contest

  • Communicate timeline with Programs board member

  • This position will report to the Programs board member

Walk & Bike to School

  • This event occurs twice a year

  • Organize and encourage all students to take an alternative mode of transpiration to school

  • Be present on both days with other parent volunteers

  • Arrange fun activities in the meet-up location (park)

  • This position answers to the Programs board member

Website

  • Maintain and update the PTA website content regularly

  • Ensure event information and resources are accurate and accessible

  • Collaborate with other committees to publish relevant news and announcements

Yearbook

  • Coordinate the creation and sale of the school yearbook

  • Manage deadlines and distribution to families
